Registration Guideline
Registration is compulsory to attend ICVRT 2025.
Author and Presenter Only: Please make the registration after the papers or abstracts are accepted by the conference after review.
Delegates: No publication and presentation. Please make the online registration (English Version | Chinese Version) and the conference secretary at icvrt_contact@126.com will check and confirm your registration within two working days.

1. Payment Attention
***** If you
register for full paper, please pay
attention that open access is essential for
ACM publishing house. The registration fee
does not include APC. You need to pay extra
APC if you want to publish your paper. The
fee will be charged by ACM separately.
For conferences publishing in this new
model,
all
ICPS papers will be published Open Access (OA).
Many authors will qualify for free OA publishing, while others will be required
to pay an applicable article processing charge (APC).
If you
are the corresponding author of a paper
in a conference that is to be published in
ICPS, please follow these steps to determine
whether you will be required to pay an APC.
1. Check to see if your institution is a
member of the
ACM Open program by reviewing
the list
of participating institutions.
2. Check to see if the country in which your
institution is located is on
this list of
countries covered by ACM’s agreements with
EIFL and
Research4Life and/or classified by
the World Bank as low-income countries.
3. Check to see if the country in which your
institution is located is on
this list of
countries classified by the World Bank as
lower middle income countries.
4. Are you or at least one of your co-authors
an ACM member? Please visit
this page and
log in to My ACM to check your membership
status. If you would like to apply for ACM
membership, you may do so
here.

Once you have determined your status based
on steps 1-4, please see below for the
applicable APC, if any. ACM recognizes that
the payment of APCs represents a significant
challenge for some authors, and has
therefore introduced a temporary subsidy on
2025 APC pricing for ICPS. This pricing
applies to all papers that are processed
through the ACM eRights system after 12 noon
US Eastern time on March 6, 2025. The
subsidized pricing for 2025 is as follows:
* If your institution is
a member of the ACM Open program, you
are not required to pay an APC.
* If the country in which your institution
is located is on
the list of low-income countries, you
are not required to pay an APC.
* If you are affiliated with an institution
in a
lower-middle-income country (as defined
by the World Bank) and you or any of your
coauthors is a member of ACM, the applicable
APC is
$125 per paper.
* If you are affiliated with an institution
in a
lower-middle-income country but neither
you nor any of your coauthors is a member of
ACM, the applicable
APC is $175
per paper.
* If you are not affiliated with an
institution in a
lower-middle-income country but either
you or one of your coauthors is an ACM
member, the applicable
APC is $250
per paper.
* In all other cases, the applicable
APC is $350
per paper.

2. Notes
1). Student fee is ONLY applicable for student who is the FIRST author of the
paper. Please submit a copy of student card or official letter to the Conference
Secretary along with other registration materials.
2). Each author registration covers only one paper. The extra paper price is
only applied for the registered author who is the first author in all papers.
3). Onsite registration is applicable to presenters (abstract submission) and delegates. If you would like to
register onsite, you are required to give us a notice before November 25, 2025
for preparing materials.
4). Registration fee for each accompanying person is the same as delegate.
3. Registration Fee Covers:
1) Attending all technical sessions; 2) Conference materials;
3) Morning and afternoon teas, Lunch and dinner during conference; 4) Conference bag;
5) USB disk including a collection of conference papers.
4. Cancellation Policy
Cancellation of paid registration is possible under the terms listed below:
* 20 days ahead of the conference: 30 USD cancellation fee.
* 10-20 days ahead of the conference: cancellation fee of 20% of the registration fee.
* Within 10 days ahead of the conference: no refund.
* Non-refund on delay or force majeure events including, without limitation, natural disasters, fires, earthquake or storm, strikes, failures of public utilities or common carriers, acts of war, or intervention, acts restraints or regulations of any governmental authority, including compliance with any order of any governmental considerations.
Note: Cancellation and refund request must be made formally by email to conference secretary at
icvrt_contact@126.com.
5. Disclaimer
* Participants must wear the conference name tag to enter the conference areas during the entire conference. Individuals not wearing it will be denied entry. Participants are not allowed to bring their associates or families into the conference areas. If you wish to bring someone, please inform the conference person in charge in advance to obtain a special name tag.
Registration fee for each accompanying person is the same as Delegate.
6. Organizer Statement
* The organizer reserves the right to change the conference date and venue due to force majeure events. Authors are obliged to observe and cooperate with the organizer's decision.
* Participants should take good care of their belongings during the conference. The conference organizer is not responsible for loss or damage of property.
